What is cold email automation?
>
Cold email automation is software that runs outbound email to people you haven't spoken to yet — finding prospects, personalising messages, sending on a schedule and handling replies — without a human performing each step by hand. Done well, it turns a pipeline that consumed a sales rep's week into a system that runs continuously. Done badly, it's a spam cannon with a dashboard.

The definition
>
The word 'automation' hides a wide range. At the shallow end, a mail merge sends the same template to a spreadsheet with a first-name token. At the deep end, an autonomous platform decides who to contact, writes a message grounded in your business and theirs, sends it from infrastructure built to reach the inbox, and triages what comes back. Both get sold as cold email automation; only one of them changes what a small team can produce.

How the pipeline works
01
Find
Identify prospects who match your ideal customer profile. The quality ceiling of everything downstream is set here — automation can't rescue a bad list.
02
Verify
Challenge every contact before sending. Bounces train inbox providers to distrust your domain, so verification is deliverability insurance, not a nicety.
03
Write and sequence
Draft the opening email and the follow-ups. Modern systems personalise from business context rather than swapping a name token into a static template.
04
Send and handle replies
Send from warmed, authenticated mailboxes at a paced volume, then classify the replies — interested, out of office, unsubscribe — and route the ones that matter to you.
>
Most tools automate one or two of these steps and leave the rest to you. The question to ask any vendor is simple: which steps still need a human, and who pays for that human's time?

Real automation vs mail merge
automation.diff
- mail merge
- same template, name token, your list
- sequencer
- timed follow-ups, still your list and copy
- autonomous platform
- finds, verifies, writes, sends, triages
the tell
If the tool needs you to upload a CSV before it can do anything, the hard parts — who to contact and whether the contact is real — are still on you.

How to choose
-Data included or bring-your-own? A sender without data is half a solution.
-Verification built in, or a separate bill and a separate export?
-Deliverability: does it run warmed, isolated, authenticated mailboxes — or send from your own domain and hope?
-Pricing: per seat and per mailbox, or per result?

Orbis is the autonomous end of this spectrum: it reads your business, finds prospects in a proprietary database of 275 million individuals, verifies each one, writes and sends the sequences from pre-warmed infrastructure, and surfaces the replies worth your time — priced per verified send, with $30 of free credit to start.
